If the Proof Color Is Wrong, First Lock Down the Viewing Conditions
When a client receives a proof and feels the color is off, I usually do not tell the designer to go back and edit the file right away. Many color disputes are not file problems. They happen because everyone is looking under different light sources, on different paper, or against different reference samples
The first thing to put on the table is three physical references: the approved standard sample, the actual paper stock for this print run, and the digital proof or press sheet produced by the print shop
Color matching should be done in a standard light booth. Do not judge color under warm office lighting, by a window, or under a phone flashlight. Those light sources can push reds, blues, and grays in different directions

If Color Shifts on Press, First Decide Whether It Is a Global Cast or a Local Failure
The worst thing to hear during a press check is, “Something feels weird.” That gives the press operator very little to work with. On site, the problem has to be broken down into directions that can actually be acted on
If the whole sheet looks too yellow, too red, or too gray, start by checking ink density, ink-water balance, paper batch, and press condition. These issues affect the whole visual result. They cannot be solved by tweaking one color block
If only the brand color, skin tone, or dark background is failing, go back and check the dot percentages, overprint status, local density, and ink absorption in that area. If needed, ask the print shop to pull sheets from the same plate at different ink levels for comparison
I ask the team on site to mark the acceptable version directly, including the time, press, paper stock, ink direction, and person who signed off. This keeps the production run from drifting back to the previous wrong state
Color matching is not about shouting “darker” or “lighter” based on instinct. It is about turning the color shift into correction instructions the print shop can actually perform
Color Tolerance Must Be Agreed on Early, Not Fought Over After Delivery
Many print disputes do not happen because the color is beyond saving. They happen because no one agreed before printing how much difference would be acceptable, then judged the finished goods by subjective feeling
At the proofing stage, I confirm three levels with the client: whether the main brand color can show any visible difference, whether secondary color blocks can tolerate slight shifts, and whether large background areas need special press-side monitoring
If the corporate identity color is sensitive, write the tolerance range into the approval record. At minimum, clearly record which proof, which light source, and which paper batch will be used as the basis for judgment
A color that looks acceptable in a light booth will not necessarily look identical under warm exhibition lighting or retail spotlights. I also remind clients that if the final usage environment is unusual, the print shop needs to know early

In practice, I break the color-matching process into four steps so the design team, client, and print shop do not each cling to a different standard
Step one is to prepare all standard references: the approved sample, brand color swatches, actual paper stock, digital proof, and latest print file. If any one of these is missing, on-site judgment becomes risky
Step two is to compare under a standard light source. Do not take phone photos, send them to a group chat, and decide color from there. Photos are altered by the lens, screen, and compression from messaging apps. They are fine for records, but unreliable for judging color
Step three is to ask the print shop for a correction method they can carry out, such as adjusting ink density, slowing press speed, pulling a new color calibration sheet, or rechecking paper direction, instead of accepting a vague “this color cannot be printed.”
Step four is to keep the signed-off sheet and clearly record the confirmation time, responsible contact, and production basis. That sheet becomes the shared language for delivery inspection later
Once the light booth, proof, tolerance, and approval record are under control, print color shifts stop being a matter of luck. They become an on-site process that can be checked point by point

- Say plainly that it cannot be done. The CMYK gamut is limited by nature. For spot colors outside that gamut, such as high-chroma orange or fluorescent colors, the client must either accept a reasonable color difference or add budget for spot-color printing
- If the digital proof looks accurate, why can color still shift during mass production on press?
- Digital proofing uses inkjet principles, while traditional offset printing depends on ink-water balance. For projects with strict color requirements, ask for a press proof or attend the press check in person to fine-tune the color on site
