What Exactly Should You Provide for Illustrator Linked Image Handoff?
For Illustrator linked image handoff, you should provide at least 6 types of materials: the original AI file, a print-proofing PDF, a Links folder for linked image files, font handling notes, die-line or production layers, and version information with revision records. For MINDS Printing (MS, mid-to-high-end fully customized commercial printing), the first three checks before production are: ① the main file opens ② the assets can be found ③ the production process can be identified
Corporate catalogs often contain more than 20 product photos. Packaging often includes die lines, white ink, foil stamping, or spot UV layers. Posters often use large photographic images. These 3 types of projects are most vulnerable to the same problem: the AI file looks complete on the designer's computer, but when the print shop opens it, only low-resolution previews remain
I recommend keeping the handoff folder fixed at 5 levels, so the next person does not have to guess
・01_AI: Place the final original AI file here, with the date and version in the filename, such as brand-catalog-20260717-v03.ai
・02_PDF: Place the print-proofing PDF here, so sales, prepress, and the client can all review the same version
・03_Links: Place all original linked image files here; do not provide only screenshots or compressed preview images
・04_Fonts_or_TextNote: Place deliverable font files if the license allows it, or note which text has been outlined and which text remains editable
・05_Process: Place die lines, production notes, white ink, foil stamping, coating, proofing notes, and revision records here
When I review handoff files, I have one very basic but useful habit: before judging whether the design looks good, I first check whether the folder lets a stranger take over within 5 minutes
Only after that is true should we talk about color, paper, and finishing

What Is the Difference Between Linked Image and Embedded Image?
A linked image is an external image read by Illustrator through a file path. The AI file stays smaller and the image can be edited separately, but the original image must be included during handoff
An embedded image stores the image data directly inside the AI file. It is less likely to be missing when opened, but the file becomes larger and it is harder to trace the original image version
The advantage of linked image is that it is clear, manageable, and easy to update. After product photos are color-corrected, you can replace the same-name file or relink it, and the layout will update accordingly
For large corporate catalogs, packaging series, and event poster size extensions, I usually recommend linked image because the chance of later image revisions is high
Embedded image is suitable for small single-page final artwork, assets that will definitely not be retouched again, or as a workaround when the client cannot organize the original images
But I would not treat embedded image as universal insurance. Once the file becomes large, opening, saving, and exchanging versions all slow down, and it is also less straightforward for prepress to inspect the original image information
The way to judge this is simple. Open Illustrator's Links panel and check 3 things
・If there is a link status beside the image, it is still a linked image, and the original image file must be handed over with it
・If the image shows an embedded status, the image has been embedded in the AI file, but you still need to confirm resolution and color mode
・If the image shows missing or modified, the path is broken or the original image has changed, and this must be resolved before handoff
When MINDS Printing (MS) or MINDS Print receives a print-ready PDF, simple business cards, basic stickers, and standard products with no need for later image changes can often enter the checking process with just the PDF
For mid-to-high-end customized commercial printing, packaging proofs, and catalogs that will be updated over time, it is best to include the original AI file and Links. This saves a lot of work the next time prices are updated, product photos are replaced, or languages are added

How Should You Use Package So Images Do Not Go Missing?
Package is Illustrator's feature for organizing the AI file, linked images, and fonts into the same folder. It is well suited for final collection before handoff
In practice, I treat Package as the final "clear the desk" step before handoff, not as a last-minute way to patch missing images after the client asks for files
In Illustrator, File > Package can collect the linked image files in use and the fonts that can be collected. After packaging, reopen the AI file from the new folder and check it once more
I recommend completing the process in 7 steps
・Close extra files and open only the final AI version to avoid packaging the wrong version
・Save the file once first, so the Links panel status updates to the latest state
・Open the Links panel and resolve missing link and modified link issues
・Run File > Package and output to a new handoff folder
・Check the Links folder generated by Package and confirm that the number of images matches the layout requirements
・Reopen the new AI file after Package and confirm there are no missing image warnings
・Save a separate PDF and compare it page by page against the AI layout
Relative paths are a small detail many people overlook
When the AI file and Links folder sit inside the same handoff folder, Illustrator can more easily find images by following the folder relationship. If you put the AI file on the desktop, the images in a cloud sync folder, and then send a compressed file to the print shop, that path usually does not exist on the other person's computer
Filenames also need control. Do not make prepress guess between IMG_4382-final-final-use-this-new.psd and corrected-image-actually-final-version.tif
・Use half-width English letters, numbers, hyphens, or underscores to reduce cross-system encoding issues
・Keep one identifier for the same product photo, such as sku-1024-front-cmyk.tif
・Do not use "new," "final," or "revised again" as version control. Use dates and v instead:
・01, v
・02, v03
・After updating an image, do not only overwrite the cloud file. Reopen the AI file and confirm there is no modified link in the Links panel
Which Color Mode and Effective Resolution Items Should You Check?
For print images, check at least 4 things: color mode, effective resolution, usage scale after cropping, and the appearance of transparency and effects
If these 4 things are not checked, even a beautiful-looking PDF may still produce color shifts, blurry images, or layer output problems during mass production
Effective resolution is the actual output resolution after an image has been placed into the layout and scaled. If the same image is enlarged 2 times, the effective resolution drops to half of the original
In general commercial printing, 300 ppi is commonly used as the image checking benchmark. It is not a magic number, but a practical safety line for most catalogs, packaging, and posters at normal viewing distances
For large posters viewed from far away, this can be evaluated separately based on size and production method. For close-up product details next to small text, resolution cannot be treated too loosely
Color mode should also be judged by use case
・CMYK: Commonly used for most general print-ready artwork, suitable for four-color paper printing workflows
・RGB: Brighter on screen; if sent directly to print, bright blues, bright greens, and fluorescent effects may become less vivid after color conversion
・Spot color: May be used for packaging, brand colors, foil stamping, white ink, or special colors. Names must be clear and not mixed with normal swatches
・Grayscale: Can be used for black-and-white photos or single-color printing, but black plate gradation and output settings must be confirmed
Placed PDF files also require special care
Some designers place a client-provided PDF into AI as if it were an image. The artwork is visible, but it may contain low-resolution images, RGB objects, unembedded fonts, or complex transparency effects. Prepress may not be able to correct it as cleanly as an original image file
For packaging and catalog projects, I recommend exporting 1 PDF for visual confirmation before handoff while still keeping the AI file and Links for prepress handling
If the project follows a mid-to-high-end fully customized process like MINDS Printing, original files give more room to evaluate paper, finishing, die lines, and color correction. If it is only standard-size retail printing with no finishing and no revision needs, submitting a PDF according to the specifications through MINDS Print's online ordering flow is more efficient

When Is a PDF Enough, and When Must You Include Original Files?
The condition for submitting only a PDF is clear: the size is correct, bleed is sufficient, fonts have been handled, image resolution is sufficient, and there is no content that needs the print shop to revise
If any of these 5 conditions has not been confirmed, do not treat the PDF as a universal handoff file
Situations suitable for PDF-only handoff
・Standard business cards, flyers, stickers, and simple posters where size and paper have already been confirmed
・Content has already been approved by the client, with no need for the print shop to change text or replace images
・The PDF includes bleed and crop marks, and fonts are embedded or outlined
・There is no missing link risk because the PDF itself can be checked by prepress
Situations where the original AI file and Links must be included
・A corporate catalog may still require product photo swaps, price changes, page number additions, or language adjustments
・Packaging includes die lines, white ink, foil stamping, spot UV, embossing, or other production layers
・A poster uses large-format output, and prepress needs to check the effective resolution and cropping of the original image
・The client requires the ability to revise later, with possible reprints or series extensions in the future
・The print shop has explicitly requested original files, which usually means more information is needed for production judgment
I see handoff as a manufacturing handover, not simply sending files
What the design side sends out is the visual layout. What the printing side receives is materials, paths, production methods, and responsibility boundaries. One missing Links folder can mean one rejected file, one revision cycle, or even one reprint
Run through this 10-point checklist before handoff, and you can usually catch most linked image issues
・The original AI file can be opened on another computer
・The Links folder after Package exists, and no images are missing
・The Links panel has no missing or modified warnings
・Image filenames use half-width English letters, numbers, hyphens, or underscores
・Image color modes match print use, and RGB image conversion results have been evaluated
・Important images have effective resolution close to print requirements, instead of relying on low-resolution web images
・Placed PDF files have been checked for fonts, color, transparency, and image quality
・Die line, finishing, white ink, foil stamping, and other layers are clearly named
・The PDF preview and AI layout have been compared page by page
・File version, revision date, and contact person are written in the handoff notes

Key Takeaways
・The key to Illustrator linked image handoff is not whether the image is visible on screen, but whether the print shop can still find the original image after switching computers
・Linked image is suitable for long-term revisions and series extensions, while embedded image is suitable for small finalized artwork, but both require resolution and color checks
・Package is the collection step before handoff. After packaging, reopen the AI file from the new folder and confirm there is no missing link
・PDF is suitable for final artwork confirmation, while AI plus Links is suitable for manufacturing workflows that require revisions, finishing, proofs, and reprints
・Good filenames and folder structure are the handoff language that prepress, design, and procurement can all understand
Further Thought
For printing manufacturing, design, and SaaS teams, an Illustrator linked image handoff checklist is actually a highly suitable workflow for digitization. If "the main file opens, assets can be found, and the production process can be identified" are broken down into fields, statuses, and reminders, the system can detect missing link, low-resolution images, RGB images, and unnamed production layers at upload. This lets prepress staff spend their time judging paper, color, and production methods instead of chasing the answer to "where is that image?"
FAQ
- Do Illustrator linked image handoffs always need Package?
- For projects with many images or likely revisions, such as corporate catalogs, packaging, and posters, Package is strongly recommended because it organizes the AI file and linked image files into the same folder, reducing the risk of missing images
- Should Illustrator images be linked or embedded?
- For projects that require later retouching, image replacement, or size extensions, linked image is easier to manage. For small finalized single-page artwork that will not be changed again, embedded image can be considered, but effective resolution and color mode still need to be checked
- Is it okay to send only a PDF to the print shop?
- When size, bleed, fonts, image resolution, and content have all been confirmed, submitting only a PDF is usually workable. For packaging, catalogs, projects with many finishing processes, or artwork that may require revisions, it is recommended to include the original AI file and Links
- What should I do when Illustrator shows a missing link?
- A missing link means the AI file cannot find the original image. Relink the correct image file in the Links panel, then run Package, and finally reopen the file from the packaged folder to confirm there are no warnings
- Where should I check effective resolution?
- Effective resolution should be checked in Illustrator's Links panel or related image information. It reflects the actual output resolution after the image has been scaled up or down in the layout. General commercial printing often uses 300 ppi as the checking benchmark
