Scaled artwork, in simple terms, means the final product is large, but the production file is created at a proportional reduced size, with notes telling the print shop what the actual output size should be
When would you use scaled artwork? Take an 80×180cm display board as an example. This size is still manageable at 1:1. Illustrator or Photoshop can usually handle it, and 72 to 100dpi is often enough. But if the job becomes a 3m×2.4m backdrop, a large vehicle wrap, or construction-site fencing fabric, a 1:1 file can easily reach several GB. On a typical computer, even opening the file may take five minutes, making smooth editing nearly impossible
That is when scaling becomes necessary. Common scaling ratios are 1:
・5, 1:
・10, and 1:20, depending on the final output size
・Final product within 1m: usually safe to create at 1:1, with no scaling needed
・Final product between 1 and 3m: 1:5 or 1:10 is recommended, depending on computer performance
・Final product over 3m, such as large backdrops, vehicle graphics, or fencing: start at 1:10, and sometimes use 1:20
Scaling itself is not the problem. The problem is scaling without clear labeling. I have seen this more than once during artwork review: a designer prepared a file at 1:10 scale but wrote nothing about it. The print shop staff then output it directly at the file size, turning what was supposed to be a three-meter-wide backdrop into a tiny 30cm print

After Scaling, How Should Resolution Be Converted?
This is where most people make mistakes. Scaling and resolution must be adjusted together. You cannot reduce the dimensions and forget to convert the DPI
The logic works like this: the actual print resolution for large-format output is usually around 72 to 100dpi. The farther the viewing distance, the lower the requirement. If you create the file at 1:10 scale, the artwork file resolution must be multiplied by 10 to preserve the same total pixel count
Here is a concrete example: the final product is a 300cm-wide backdrop, and the actual output needs 72dpi. The total pixel width is 300cm ×:
・28.35px/cm × 72 ÷
・2.54, which is roughly 85,000 pixels. After making it at 1:10 scale, the file width becomes 30cm. To keep the same pixel count, the Photoshop resolution should be set to 720dpi
You can remember the conversion with a simple formula: DPI for scaled artwork = actual output DPI × scaling factor
・1:5 scale → actual output 72dpi → artwork set to 360dpi
・1:10 scale → actual output 72dpi → artwork set to 720dpi
・1:20 scale → actual output 72dpi → artwork set to 1440dpi
If you are working with vector files in Illustrator, this issue is less severe. Vectors can scale infinitely without losing quality, as long as the placed raster images have enough resolution. Pure vector elements are not affected by the scaling ratio. The real things to watch are raster artwork created in Photoshop and image assets embedded inside the final file
How Should Bleed and Hem Allowances Be Set in Scaled Artwork?
Bleed cannot be skipped, but many people do not think through how to calculate and label it
Bleed for large-format output is usually larger than the 3mm used for business cards or flyers. Fabric banners and backdrops often require 5 to 10mm of bleed for finishing and trimming. Some fabric materials also need extra hem allowance for folding. For example, a hanging fabric banner may require 3 to 5cm at the top and bottom for a pole pocket or sewn edge
All of these numbers must be converted according to the scaling ratio
・Final product bleed of 5mm means 0.5mm bleed in 1:10 scaled artwork
・Final product hem allowance of 3cm means 3mm hem allowance in 1:10 scaled artwork
The problem is that 0.5mm of bleed is so thin it is almost invisible, which makes production errors easy. In practice, I recommend not scaling too aggressively. Keep it at least around 1:5 so the bleed line remains reasonably visible. If you really need to work at 1:10, use annotation lines or guides in the artwork to clearly frame the bleed area, and state the actual pre-conversion numbers in the specification notes
For materials such as fabric banners that require sewing, the hem direction must also be marked on the artwork. Identify which side is the top edge for the pole pocket and which side needs sewing. Do not leave the factory to guess

How Do You Judge the Minimum Readable Size for Text and Logos in Scaled Artwork?
Text will look very small inside scaled artwork. That is normal. What you need to confirm is whether it will still be readable after being enlarged back to the actual size
The minimum readable font size for large-format output should be judged by viewing distance, not by the pt size inside the file. For a display board, the closest viewing distance may be around 50 to 100cm. For a roadside advertising banner, the closest distance may be 2 to 3m. For a vehicle wrap, pedestrians are usually viewing it from at least 5m away
One practical estimate: for every 1m of viewing distance, the final text height should be at least 2 to 3cm. If a slogan on a vehicle wrap needs to be readable from 5m away, that text should be 10 to 15cm tall at actual size, which becomes 10 to 15mm in 1:10 scaled artwork
The same applies to logos. Some logos contain fine lines. After scaling, they may look sharp on screen, but that is because the screen resolution is high. What matters is the printed result, not how it appears on the monitor. During production, it is a good idea to occasionally enlarge a cropped section to the actual pixel size at 72dpi to simulate output quality
How Should Scaled Artwork Be Marked So the Print Shop Does Not Have to Guess?
This is the final step, and also the one most easily overlooked. Even if the artwork is precise, incomplete labeling can still lead to mistakes

The filename should directly include the actual size and scaling ratio

The internal notes or Artboard description should include the following information:

・Actual bleed size, such as actual bleed 5mm, bleed in this file 0.5mm
・Hem direction and size, if applicable
・Material used, such as glossy fabric or matte PVC banner
・Final artwork resolution, such as 720dpi at 1:10, equivalent to 72dpi output
The safest approach is to include a separate specification sheet. A one-page A4 Word or PDF file containing only the fields above, placed in the same folder as the artwork and compressed before sending to the print shop, is the fastest way for staff to confirm the specs without opening a large file
